What is Process Mapping (And Why Bother)?

Think of process mapping like drawing a treasure map, except instead of looking for gold, you’re uncovering the best way to get work done. It’s about sketching out all the steps in a process so everyone can see what’s happening, where things might get stuck, and how to make improvements. For UK workplaces where time and resources are precious, a good process map can save you hours of head-scratching and endless email chains.

Tip 1: Get Everyone Involved (No Wallflowers Allowed)

Process mapping works best when you bring together people who actually do the work day in, day out. Get a group together – not just managers, but team members from every stage of the process. Pop the kettle on, grab some biscuits, and turn it into an informal workshop. The more voices, the better the map.

Ask questions like: What’s the first thing that happens? Who does what next? Where do problems usually crop up? You’ll be amazed at what comes out once everyone starts sharing. Sometimes the best ideas come from the least expected places.

Tip 2: Keep It Simple – Doodles Welcome!

You don’t need fancy software or artistic skills. Some of the best process maps start with sticky notes, a marker pen, and a bit of wall space. Every process has its sticky points – places where things slow down, get missed, or double up. As you build your map, look out for:

  • Steps that take ages compared to the rest
  • Tasks that only one person can do (what if they’re off sick?)
  • Bits where things go back and forth endlessly
  • Places where errors or complaints usually happen

Mark these with a big asterisk or a different colour sticky note. These are your hotspots for improvement. Getting the team to spot and discuss them together turns problem-solving into a team sport.

Tip 4: Don’t Just Map – Fix!

It’s tempting to stop once you’ve drawn the process, but the real magic is in what happens next. Challenge the group: How can we make this easier, faster, or less stressful? Could any steps be combined or cut out altogether? Are there any digital tools that could help?

Test out new ideas on a small scale first. For example, if you find that getting manager sign-off is slowing things down, try a pilot where sign-off happens once a week instead of every day. See what happens and tweak as you go. Celebrate every win, no matter how small!

Tip 5: Keep Your Map Alive

Processes change, and so should your maps. Don’t let them gather dust in a shared drive or get lost in someone’s drawer. Review your process maps every few months – especially after a big change or if you spot new issues cropping up.

Make it a habit to ask, “Is this still the way we do things?” Encourage teams to update the map as they find better ways to work. This keeps the momentum going and shows that process mapping isn’t a one-off – it’s a way to keep getting better.
