Start With a Clear Purpose (and Share It!)

Every meeting should have a heartbeat – a clear, shared goal. Before your next session, ask yourself: What do I want us to achieve? Is it to make a decision, generate ideas, solve a problem, or just update each other? Once you know, spell it out for everyone. Try opening with a quick statement like, Today we are here to come up with three new marketing ideas we can actually start using next month. This helps everyone focus and gives the meeting direction. When people know why they are there, they are far more likely to engage.

Mix Up Your Formats

Let us face it – the classic round-the-table update can send even the keenest team member into daydream mode. Keep things lively by switching up your approach. For example, use small breakout groups for brainstorming, try a silent sticky-note session where people jot ideas before sharing, or run a quick-fire round where everyone answers a prompt. Draw Out Every Voice

It is easy for meetings to wander off topic – especially when people are passionate (or just really love a good tangent). Use your facilitator role to steer things gently back on course. Summarise what has been said, check in with the group, and park off-topic ideas for later. For example, That is a brilliant point about next quarter, let us jot it down and circle back after we finish today’s main topic. This keeps things flowing while showing respect for everyone’s contributions. A bit of humour goes a long way here too – a light touch makes it easier to keep people focused.

Make Actions and Next Steps Crystal Clear

The best meetings end with everyone knowing exactly what happens next. As you wrap up, review the key decisions, actions, and who is doing what. Avoid vague agreements like, Someone should look into that. Instead, name names and deadlines: Alex will draft the new process by next Friday. Send a quick summary afterwards, so everyone leaves with a record of what was agreed. Not only does this boost accountability, but it also shows you value people’s time and input.

Bring the Fun (and Keep it Down-to-Earth)

Engaging meetings are not just about serious business – a bit of fun makes a huge difference. Use icebreakers, silly polls, quick games, or even themed snacks to lighten the mood and break down barriers. Celebrate small wins on the spot, and do not be afraid to laugh at yourself if something goes a bit wrong. When people enjoy meetings, they are far more likely to actively participate next time.
