Start With a Daily Plan

Great time management starts before you even open your emails. Spend the first five minutes of your day making a quick plan. Write down your top three priorities—these are the must-do tasks that’ll make the biggest difference. Then, slot in everything else around them. This way, you focus on what matters most and avoid getting sucked into the busyness trap.

Some people like a good old-fashioned paper list, while others swear by digital planners or apps. Find what works for you and stick with it. The key is to make planning a habit, not just a once-in-a-blue-moon thing.

Beat Distractions (Even the Sneaky Ones)

Let’s be honest, distractions are everywhere—emails pinging, colleagues popping by, the lure of social media or even a sunny garden outside your window if you’re working from home. To get more done, you have to spot and squash your biggest distractions.

Try batching your emails—check them three times a day instead of constantly dipping in and out. Let your team know when you’re in ‘focus mode’ by popping on headphones or using a desk sign. If you work from home, create a dedicated workspace that tells your brain “now it’s work time”.

And don’t forget those sneaky self-imposed distractions, like tidying your desk for the third time or hunting for the perfect font. Perfectionism can be a secret time thief! Get comfortable with ‘good enough’ and move on to the next task.

Master the Art of Prioritisation

If everything feels urgent, nothing actually is. Learning to prioritise is a game changer. Ask yourself: What will have the biggest impact? What’s genuinely urgent versus just noisy? One quick method is the Eisenhower Matrix—split your to-do list into four boxes: urgent and important, important but not urgent, urgent but not important, and neither. Tackle the urgent and important stuff first, schedule the important but not urgent, delegate the urgent but not important, and drop the rest.

Don’t be afraid to push back when new requests come in. If your plate is full, negotiate deadlines or ask which task should take priority. Most people will appreciate your honesty rather than a last-minute panic.

Break Big Tasks Into Bite-Sized Chunks

Large projects can be intimidating, leading to procrastination and stress. The trick is to break them down into smaller, manageable steps. Instead of aiming to ‘finish the report’, focus on outlining the structure, then gathering data, then writing the introduction, and so on.

Celebrate small wins along the way. Ticking off each step gives you a burst of motivation and a real sense of progress. You’ll be amazed how much easier big jobs become when you chip away at them steadily, rather than leaving everything to the last minute.

Give Yourself Permission to Pause

It might sound counter-intuitive, but taking regular breaks makes you more productive, not less. Our brains need time to reset, especially after periods of intense focus. Try the Pomodoro Technique: work for 25 minutes, then take a 5-minute break. After four cycles, take a longer break.

Stretch, have a cuppa, step outside for a breath of fresh air—whatever helps you recharge. You’ll come back sharper and ready to tackle the next task with energy.

Keep It Real: Review and Adjust

No one gets it right every day. That’s absolutely fine! The best time managers check in with themselves once a week. What went well? Where did time slip away? Make small tweaks—perhaps a new app, a different routine, or a better way to say no to interruptions. Time management is a skill, not a superpower, and it gets better with practice.
